What to Put on a Wedding Details Card: Wording Examples, Size and a Full Example
By Beth, founder of Graceful Studio · Updated

Your invitation tells guests who, when and where. A wedding details card answers everything else: where to stay, where to park, what to wear and how to reply. Knowing what to put on a wedding details card, and what to leave off, is what keeps your invitation clean and your inbox quiet. This guide covers every section, with wording examples you can copy, a full example card and the size we use.
What is a wedding details card?
A details card is a smaller card that sits behind the invitation in your suite. You’ll also see it called an information card, an insert or a “finer details” card; they’re all the same thing. It holds the practical information guests need to plan their day, so the invitation itself can stay elegant and uncluttered.
Think of it this way: the invitation is the announcement, the details card is the helpful friend who tells you where the car park is.
Do you need a details card for wedding invitations?
It isn’t essential, but it earns its place if any of these apply to your wedding:
- Guests will be staying overnight and need hotel suggestions.
- Your venue is rural, tricky to find or short on parking, or you’ve booked a coach or taxis.
- The ceremony and reception are in different places.
- You have a dress code beyond “smart”, or a request like flat shoes for a lawn ceremony.
- Your wedding is adults only, and you’d like to say so kindly.
- Some guests, often grandparents, won’t look at a wedding website.
Planning a short, local day where everyone knows the venue? You can skip it and put your website address or a QR code at the bottom of the invitation instead. Our stationery checklist explains which other pieces are optional.
What to put on a wedding details card
Here’s everything a details card can include. Most couples choose five or six sections; more than that and the card gets crowded.
| Section | What to include | Worth including if… |
|---|---|---|
| Accommodation | Two or three nearby hotels, with distance from the venue and any booking code | Guests are staying over |
| Travel and parking | Parking, taxis, shuttle or coach times, nearest station | The venue is rural or parking is limited |
| Timings | Arrival, ceremony, wedding breakfast, evening and carriages | Your day has a long gap or a late finish |
| Dress code | One clear line, plus any practical notes | You’d like guests to dress a certain way |
| Gift list | A gentle note and where to find your list or fund | You have a gift list or honeymoon fund |
| Children | Whether children are invited | Your wedding is adults only |
| RSVP | Reply-by date, how to reply, dietary needs | There’s no separate RSVP card |
| Website or QR code | Your wedding website address or a scannable code | You have a website with more detail |
| Contact | A name and phone number or email for questions | Always useful |

What size is a wedding details card?
There’s no single standard size for a details card. What matters is that it’s smaller than the invitation, so the suite layers neatly and each card peeks out from behind the one in front. In our Grace and watercolour wildflower suites, the three cards are deliberately three different shapes:
| Card | Size | Shape |
|---|---|---|
| Invitation | 5×7 inches (127 × 178 mm) | Portrait |
| Details card | 120 × 120 mm | Square |
| RSVP card | A7 (105 × 74 mm) | Landscape |
A 120 mm square comfortably fits five or six short sections in a readable size, as in the full example above. If your wording runs longer than that, it’s a sign some of it belongs on your website rather than in smaller type. The finished suite still fits a standard 5×7 envelope; our guide to choosing wedding invitations explains how size affects postage.

Details card vs wedding website: what goes where?
You don’t have to choose. The best approach is to use both: the details card carries what every guest needs at a glance, and the website holds everything longer, or anything that might change.
| Information | On the details card | On your wedding website |
|---|---|---|
| Accommodation | Two or three nearest hotels | Full list, links, prices and booking codes |
| Travel | Parking and taxis in one line | Maps, train times, coach pick-up points |
| Timings | Key times, if helpful | The full order of the day |
| Dress code | One line | Outfit ideas, footwear, what to bring if it rains |
| Gifts | One gentle sentence | Your gift list or fund link |
| RSVP | Reply-by date and how to reply | The online form, with menu choices and dietary needs |
| Questions | A contact name | An FAQ page |
What to put on your wedding website
If you’re building a site alongside your stationery, these are the pages guests actually use:
- The essentials: date, venue, address and a map link.
- The schedule: arrival time through to carriages.
- Travel and accommodation: hotels, parking, taxi numbers and the nearest station.
- Dress code: say what it means in practice. “Smart garden party” might mean summer dresses, linen suits and shoes that cope with grass, plus a wrap for the evening.
- RSVP, with menu choices and dietary requirements.
- Gift list or honeymoon fund.
- FAQs: children, plus-ones, whether the ceremony is unplugged, and who to call on the day.
What not to put on a details card
- Information already on the invitation, such as the date and ceremony time.
- A long list of hotels or turn-by-turn directions. Two or three hotels and a postcode are plenty; the rest goes online.
- Anything likely to change, like a provisional schedule or a taxi firm you haven’t booked yet.
- Rules aimed at particular guests. Make who’s invited clear through the names on the envelope instead; our guide to addressing wedding invitations shows how.
- A gift request that leads the card. Keep gift wording gentle and lower down, never the first thing guests read.
- Details that differ for evening guests. Give evening guests their own card, or leave the daytime timings off theirs.
- Different dates on different cards. Check the RSVP date matches across the details card, RSVP card and website.
For the wording on the invitation itself, see our wedding invitation wording examples, which cover everything from formal to relaxed.
Invitation suites with a details card
Our Grace wildflower set and watercolour wildflower set both include a 120 mm square details card alongside the invitation and RSVP card, and our blue floral oval suite and pastel wildflower suite include a details card too. Every one is designed and handmade in our UK studio, and we’ll lay out whatever wording you like. Your digital proof usually arrives within 7 days, so you can check every line before anything is printed.
Want to see how much fits on the card before you decide? A sample pack shows you the invitation, details card and RSVP together. Standard samples are sent within 4 days, and personalised samples in about a week.
Frequently asked questions
What do you put on a wedding details card?
+
The practical information guests need to plan: accommodation, travel and parking, timings for the day, dress code, gift list, whether children are invited, how and when to RSVP, your wedding website or QR code, and a contact for questions. Choose the five or six that matter most.
Do you need a details card for wedding invitations?
+
Not always. It’s worth including if guests are staying overnight, the venue is rural or short on parking, you have a dress code or an adults-only policy, or some guests won’t use a website. For a short local day, a website link on the invitation is enough.
What size is a wedding details card?
+
There’s no single standard, but it should be smaller than the invitation so the suite layers neatly. In our Grace and watercolour wildflower suites the details card is 120 mm square, with a 5×7 invitation and an A7 RSVP card.
Should the RSVP date go on the details card?
+
If you have a separate RSVP card, the date belongs there, though repeating it on the details card is fine as long as both match. If there’s no RSVP card, put the reply-by date and how to reply on the details card.
Can you put a QR code on a wedding details card?
+
Yes. A QR code linking to your wedding website or online RSVP is a neat way to keep the card short. Print the web address underneath as well, for guests who’d rather type it, and test the code on your proof.
Is it rude to put gift information on a details card?
+
No, many guests are grateful to know. Keep it to one gentle sentence, put it lower down the card rather than first, and point to your website for the full list or fund.
What’s the difference between a details card and a wedding website?
+
The details card carries the essentials every guest needs at a glance, in print. The website holds longer or changeable information: full hotel lists, maps, the order of the day, menu choices and FAQs. Most couples use both.
What should you not put on a wedding details card?
+
Information already on the invitation, long hotel lists or directions, anything likely to change, rules aimed at particular guests, and a gift request as the first line. Make sure dates match across every card and your website.
