# How Many Wedding Invitations Do I Need? A Step-by-Step Calculator for 30 to 200 Guests

URL: https://gracefulstudio.co.uk/journal/how-many-wedding-invitations-do-i-need · Updated 2026-10-20 · By Beth

**Short answer:** You need one wedding invitation per household, not per guest, plus about 10% spares (at least five). Couples and families at one address share an invitation. As a guide, 100 guests is usually around 45 households, so order about 50 invitations; 200 guests is around 90 households, so order about 100. Count evening invitations separately.

“How many wedding invitations do I need?” sounds like a question with an obvious answer: one per guest. It isn’t, and that assumption is the most common way couples over-order. This guide gives you a step-by-step method, ready-reckoner tables from 30 to 200 guests, and the quantities for everything that goes with your invitations, from RSVP cards and envelopes to evening invitations, save the dates, place cards and menus.

In a hurry? Pop your guest numbers into our **wedding invitation calculator** and it works out every quantity for you, using exactly the rules explained below.

Invitation calculator (interactive on the web page). Rules:

- Invitations, RSVP cards, details cards and save the dates: one per household (about 2.2 day guests or 1.8 evening guests per household if not counted), plus 10% spares (minimum five), rounded up to the nearest five.
- Outer envelopes: one per invitation, plus 10% if handwriting.
- Place cards and menus: one per seated guest (or two menus per table if shared). Table numbers: one per guest table (about 8 guests each).

| Day guests | Households (approx.) | Invitations to order |
| --- | --- | --- |
| 50 | 23 | 30 |
| 100 | 45 | 50 |
| 150 | 68 | 75 |
| 200 | 91 | 100 |

## Count households, not guests

A wedding invitation goes to a **household**: everyone invited who lives at one address. A married couple shares one invitation. So does a family of four. A friend who’s bringing a plus one gets one invitation with “and guest” or their partner’s name on it. That’s why the number of wedding invitations you need is usually **less than half your guest count**.

A few situations catch people out:

- **Couples who don’t live together.** Traditionally each gets their own invitation at their own address. Most couples now send one to the person they know best with both names on it. Either way, decide before you count.
- **Grown-up children living at home.** Anyone aged 18 or over should get their own invitation, even at their parents’ address, so they reply for themselves. Count each one as an extra household; on a family-heavy list this adds up quickly.
- **Plus ones.** No extra invitation; the plus one is named or added on the guest’s invitation.
- **Children.** On their parents’ invitation, named, if they’re invited.
- **People you’ll hand an invitation to in person.** They still count; they just don’t need a stamp.

Not sure how to write the names? Our [guide to addressing wedding invitations](https://gracefulstudio.co.uk/journal/how-to-address-wedding-invitations-uk) covers every household, from families to unmarried couples.

## How to work out how many wedding invitations to order

This takes about half an hour with a spreadsheet, and it saves you from both reordering and paying for invitations you’ll never use.

1. **List every guest by name**, one per row, including children and plus ones.
2. **Add an “address” column** and group everyone who lives together. Each group is one household.
3. **Add a “day or evening” column**, so day and evening households are counted separately.
4. **Count the households** in each group. That’s your base number of invitations.
5. **Add spares**: about 10%, and never fewer than five.
6. **Round up** to a sensible number and check the design’s minimum order.
7. **Mark who you’ll post to and who you’ll hand-deliver**, so you know how many stamps to buy.

Here’s what that looks like for a real-sized wedding:

| Step | Day | Evening |
| --- | --- | --- |
| Guests | 96 | 30 |
| Households (grouped by address) | 43 | 17 |
| Spares (10%, minimum 5) | +5 | +5 |
| Total | 48 | 22 |
| **Order** | **50 day invitations** | **25 evening invitations** |

Keep the spreadsheet. The same list gives you your RSVP tracker, your envelope addresses, your seating plan and, later, your thank you list.

## How many wedding invitations for 30 to 200 guests?

If you haven’t grouped your list yet, use this ready reckoner. It assumes about **2.2 guests per household**, which is typical when most guests come as couples. Lots of single friends means more households; lots of families means fewer, so treat it as a starting point and swap in your real count when you have it.

| Day guests | Households (approx.) | Spares | Invitations to order |
| --- | --- | --- | --- |
| 30 | 14 | +5 | **20** |
| 40 | 18 | +5 | **25** |
| 50 | 23 | +5 | **30** |
| 60 | 27 | +5 | **35** |
| 70 | 32 | +5 | **40** |
| 80 | 36 | +5 | **45** |
| 90 | 41 | +5 | **50** |
| 100 | 45 | +5 | **50** |
| 120 | 55 | +6 | **65** |
| 150 | 68 | +7 | **75** |
| 180 | 82 | +8 | **90** |
| 200 | 91 | +9 | **100** |

**How many wedding invitations for 200 guests?** Around 90 households, so order about **100 invitations**. For 100 guests, about 45 households and **50 invitations**. For 150 guests, about 68 households and **75 invitations**. To see what those quantities cost, our [wedding invitation cost guide](https://gracefulstudio.co.uk/journal/how-much-do-wedding-invitations-cost-uk) prices them out with every sum shown.

## Evening invitations: count them separately

Evening guests get their own invitation, so they need their own count. Apply exactly the same rule: one per household, plus spares. Evening households tend to be smaller (more colleagues and friends, fewer families), so don’t assume the same 2.2 ratio; count them.

**How many evening guests to cater for?** Everyone you invite to the evening, plus every day guest staying on. If you have 96 day guests and 30 evening guests, your evening food is for 126 people, minus anyone who leaves early. Asking evening guests to RSVP too gives your caterer a real number rather than a guess. Our [evening invitation wording guide](https://gracefulstudio.co.uk/journal/evening-wedding-invitation-wording-uk) has the wording.

## RSVP cards, details cards and envelopes

- **RSVP cards: one per invitation.** A household replies together on one card.
- **RSVP envelopes: one per RSVP card** you expect back by post. If everyone replies online, you don’t need them.
- **Details cards: one per invitation**, if you’re including one.
- **Outer envelopes: one per invitation, plus extra.** Envelopes are where mistakes happen: a smudged name, the wrong postcode, a change of address. Allow 5–10% more envelopes than invitations if you’re handwriting them.
- **Stamps:** one per household you’re posting to, and one more per stamped RSVP envelope.

How many envelopes for wedding invitations if you don’t want to write them at all? Exactly one each: we can [print your guests’ names](https://gracefulstudio.co.uk/shop/envelopes/printed-guest-name-envelopes) in the same font as your invitations, so there are no spoiled envelopes to allow for. Our [RSVP wording guide](https://gracefulstudio.co.uk/journal/wedding-rsvp-wording-uk) covers return envelopes and postage in more detail.

## How many save the dates do I need?

Save the dates also go one per household, but only to people you’re **certain** to invite, because a save the date is a promise that an invitation will follow. That often makes the save the date order a little smaller than the invitation order. Most couples send them to day guests only; send them to evening guests too if they’ll be travelling. Add a few spares, but you need fewer than for invitations because nobody is waiting on a reply. Our [save the date wording guide](https://gracefulstudio.co.uk/journal/save-the-date-wording-uk) covers what to write.

## How many menus, place cards and table numbers?

On-the-day stationery is counted per guest or per table, not per household, which is why it’s ordered later, once your RSVPs are back and you know exactly who is coming. Base it on **confirmed seated guests**, not invited guests.

| Stationery | How to count | Example |
| --- | --- | --- |
| Place cards | 1 per seated guest, including you two, children with their own seat and any suppliers eating in the room | 88 |
| Menus | 1 per seated guest, or 2 per table if sharing | 88, or 22 shared |
| Menu & place card in one | 1 per seated guest, replaces both | 88 |
| Table numbers or names | 1 per guest table; the top table rarely needs one | 10 |
| Seating plan | 1 (A2 or A1) | 1 |
| Reserved seat tags | Front-row family at the ceremony | 2–6 |

Check every name on your place cards against your final RSVP list before you approve the proof, especially guests who replied late or swapped a plus one. Our [place card ideas](https://gracefulstudio.co.uk/journal/wedding-place-card-ideas) and [seating plan guide](https://gracefulstudio.co.uk/journal/wedding-seating-plan-ideas-uk) help with the rest.

## How many extra wedding invitations should I order?

About 10% extra, and never fewer than five. Spares aren’t waste; each one usually ends up with a job:

- **The household you forgot.** There’s almost always one, often a neighbour or a work friend.
- **A second round of invitations** after early declines (more on that below).
- **Mistakes and changes**: a guest moves house or an envelope gets damaged.
- **Keepsakes** for you, both sets of parents and grandparents.
- **Your photographer**, who will want a full suite for detail photos on the morning.

Ordering a handful more later is possible, but it means another proof, more making time and another delivery charge (£4.99 per order at the time of writing). A few spares now are almost always cheaper and calmer.

## Minimum orders

Some of our invitation suites have a **minimum order of 30**, including the [gold foil shell invitation](https://gracefulstudio.co.uk/shop/wedding-invitations/gold-foil-shell-wedding-invitation) and the [pastel wildflower suite](https://gracefulstudio.co.uk/shop/wedding-invitations/pastel-wildflower-wedding-invitation-suite). The product page always says if a design has one. For a small wedding of 30–40 guests, that may be more than your 20 or 25 invitations; you can either choose a design without a minimum, or put the extras to work as evening invitations and keepsakes.

## How many wedding invites actually attend?

You’ll see attendance percentages quoted online, but we haven’t found a reliable UK figure we’d stand behind, and honestly it varies too much from wedding to wedding for an average to help you. What makes the difference:

- **Distance.** A local wedding where most guests can drive home will see far more acceptances than one abroad. Destination weddings usually have the most declines.
- **The date.** Bank holidays, school holidays and December weekends clash with existing plans.
- **Notice.** Save the dates and invitations sent in good time mean fewer people have already booked something else.
- **Who’s on the list.** Close family almost always comes; distant colleagues and old friends are likelier to decline.
- **Children.** An adults-only wedding means some parents can’t find childcare.
- **Cost to the guest.** Travel, hotels and a weekend away all add up.

So how many people decline wedding invitations? Rather than guess with a percentage, go through your list and mark each household **definitely**, **probably** or **unsure**. Then follow one rule: **only invite as many people as your venue and budget can cope with if every single one says yes.** Plenty of weddings get almost full acceptance.

If you’re hoping to invite more people as declines come in, keep a second list and send that round of invitations as soon as the early “no” replies arrive, ideally still three months or more before the day, so it doesn’t feel like a late invitation. Our [timeline guide](https://gracefulstudio.co.uk/journal/when-to-send-wedding-invitations-uk) shows when that window closes, and your spares mean you won’t need to reorder.

## Your full order, start to finish

Putting it all together for the same wedding of 96 day guests (43 households) and 30 evening guests (17 households), with 88 confirmed at 10 tables:

| Stationery | When to order | Quantity |
| --- | --- | --- |
| Save the dates | 9–12 months before | 45 (certain day households plus spares) |
| Day invitations, RSVP and details cards | About 4½–5 months before | 50 |
| Evening invitations | At the same time | 25 |
| Outer envelopes | With the invitations | 75, or a few more if handwriting |
| Place cards and menus (or both in one) | Once RSVPs are in | 88 |
| Table numbers | Once RSVPs are in | 10 |
| Seating plan | Once RSVPs are in | 1 |

For the full list of what you might need and what you can skip, see our [wedding stationery checklist](https://gracefulstudio.co.uk/journal/wedding-stationery-checklist-uk). For budgets, our [cost guide](https://gracefulstudio.co.uk/journal/how-much-do-wedding-invitations-cost-uk) turns these quantities into totals.

## Start with a sample

Once you know your numbers, a sample pack is the best way to choose the design before you commit to 50 or 100 of them. You’ll see the invitation, details card and RSVP together, in the same card your guests will hold. Standard sample packs are sent within 4 days, and personalised samples in about a week; full timings are on our [delivery page](https://gracefulstudio.co.uk/delivery).

Questions:

- **How many wedding invitations do I need?** One per household, not one per guest, plus about 10% spares and never fewer than five. Couples and families living at one address share an invitation, so most couples need a little under half as many invitations as guests.
- **How many wedding invitations for 200 guests?** About 90 households, assuming most guests come as couples, so order around 100 invitations including spares. Count your actual households if you can, because lots of single guests or large families will change the number.
- **How many wedding invitations for 100 guests?** Usually around 45 households, so about 50 invitations with spares. For 150 guests, allow about 68 households and 75 invitations.
- **How many extra wedding invitations should I order?** About 10% more than your household count, with a minimum of five. Spares cover forgotten guests, a second round of invitations, mistakes and keepsakes for you and your families.
- **Do evening guests get a separate invitation?** Yes. Evening guests receive their own invitation, one per household, sent at the same time as the day invitations. Count them separately from your day guests and add spares to both.
- **How many RSVP cards and envelopes do I need?** One RSVP card per invitation, one RSVP envelope for each card you expect back by post, and one outer envelope per invitation plus 5–10% extra if you’re handwriting the addresses.
- **How many wedding invites actually attend?** It varies too much for an average to be useful. Local weddings with plenty of notice see more acceptances; destination, bank holiday and adults-only weddings see more declines. Only invite as many people as you could host if everyone said yes.
- **Is there a minimum order for wedding invitations?** Some of our invitation suites have a minimum order of 30, which the product page shows. If you need fewer, choose a design without a minimum or use the extras as evening invitations and keepsakes.
